What Payroll does

Attendance and approved leave are frozen when the month is generated. A salary structure — effective-dated, never edited — turns them into a payslip the database refuses to store unless it balances: PF on the basic to the ceiling, ESI while gross is under the threshold, professional tax from the slabs you typed for your state, and TDS as the figure your accountant declared. Finalising locks the month; paying needs a second person and posts the clinic’s cost to the books.

How you actually use it

  1. Set up salaries and the statutory figuresOn Salaries, New salary: the person, the month it applies from, its components — earning or deduction, fixed or a percentage of basic, exactly one basic — whether PF, ESI and PT apply, the monthly TDS as the figure your accountant decided, and how they are paid. On Statutory: the PF employee and employer percentages and wage ceiling, the ESI threshold and percentages, and the professional tax slabs you type for your state.
  2. Open the month and generateOn The month, Open month, then Generate freezes attendance and approved leave into a line per person — present, leave, absent, overtime. An adjustment takes a kind, a positive amount and the reason. Lock closes the lines, and Export gives the attendance file. A month is opened once.
  3. Run payrollOn Run, Run payroll reads the salary in force for that month and the generated lines. It is refused before the month is generated and when nobody on it has a salary structure; a payslip whose deductions exceed its earnings is refused by name. Not paid by this run lists who was skipped and why.
  4. Finalise, second signature, payFinalise locks the run; Discard needs a reason. Record payment appears only once a second person has approved the run on Approvals, and the service refuses a payment before that, or a second payment. Paying posts the clinic’s cost — gross plus employer PF and ESI — as an expense in the books.
  5. PayslipsMy payslips shows a person their own payslips; opening anybody else’s needs the salary permission.
