What RetentionVault does

Retention classes applied to real data, destruction proposals generated on schedule, and certificates for what was destroyed.

How you actually use it

  1. Read the banner firstWhat this app does, and what it does not is the first card: the app deletes nothing, and marking a decision carried out records a person’s statement about work done elsewhere rather than performing it.
  2. Set the policy with its legal basisNew policy takes the data class, what it covers, the years to retain and the legal basis, which is a required field — a retention period nobody can source is a number somebody invented.
  3. Apply and release the holdsA hold is applied against a live policy with a reason from the fixed list — litigation hold, regulatory query or patient request — and released as a whole stamp with the releasing person’s name.
  4. Count what is past the policyDue for review counts, per policy, the records in each counted source older than the policy allows and names those sources; it returns counts only, never identifiers.
  5. Record the decision, and who says it was doneA disposition takes retain further, anonymise or destroy with a reason and is refused while the class is under a hold; Mark carried out then takes the method — ‘shredded on site, certificate 2026/114’, not ‘done’.

What it reads

data inventory

What it writes

proposalscertificates
Same patient record as every other app — nothing is copied into a silo. Data class: Full PHI.

What it does not do

It does not destroy anything without an approved proposal and a certificate.

Every app page carries this section. A listing with only benefits is an advertisement.
