What EthicsFlow does

Ethics committee submissions with document checklists, meeting scheduling with quorum, approval letters versioned, and continuing-review deadlines that escalate.

How you actually use it

  1. Constitute the committee and appoint its membersOn Committee & members, Constitute a committee with its name, registration number and the date it was constituted. Appoint each member to a seat — chairperson, member secretary, clinician, basic scientist, legal, lay person or statistician — with their qualification and whether they are affiliated to this institution.
  2. Submit to the committeeOn Submissions & decisions, pick the kind — initial protocol, amendment, annual report, SAE report, deviation or closure — name the principal investigator and write what the committee is being asked to consider. Anything after the initial protocol names the initial submission it relates to, and an SAE report carries the date the event occurred.
  3. Open a sitting and take attendanceOn Sittings & quorum, open a sitting with the date it is held and the venue, then mark each member Present or Apologies. The quorum panel shows the four clauses as they stand right now: at least five present, a lay person, an independent member, and the chairperson or the member secretary.
  4. Record the decisionMinute a decision against a submission: approved, approved with conditions, revision required, rejected or deferred, with the conditions or the reason and the date the approval is valid to. The button stays disabled and the service refuses the decision while the sitting is not quorate, printing the clauses it fails.
  5. Watch the clocksContinuing review & SAEs lists every approved study with its next annual report due, the days it is overdue and whether the approval itself has expired, and every SAE report with its report and opinion due dates. Both lists are computed on every load and stored nowhere, so filing the report moves the due date on and clears the overdue flag without anyone ticking anything; a study leaves the list only when its closure is submitted.
