Every physical file is barcoded to a rack and shelf location, and scanning the barcode — or the patient’s ID — says exactly where it sits or who last checked it out, ending the walk-the-racks search for a file that is "somewhere in medical records".
It does not hold the file’s contents — only where the physical folder is and who has it; the clinical record itself lives in the patient’s chart.
