Every letter a staff member is entitled to — offer, appointment, increment, experience, relieving — is generated from the one record that already holds their designation, salary and dates, so no two letters ever disagree on a fact. Each generated letter is kept against the employee, so a duplicate request for an old experience letter takes one click.
It does not draft free-form correspondence — only the fixed letter types with a template; anything else is written outside the app.
